- HelloCounsel publishes this comparison, so we have an obvious bias. Every option here was checked against the same criteria, with claims traced to each vendor's own material.
- The bulk of this category is answering services with a legal page, and a handful are software. The two behave differently and price differently.
- Three of the vendors here publish no rates at all, and two more return a 404 on their pricing URL.
- LegalClerk.ai publishes $400 per seat per month. Smith.ai publishes human-tier plans from $300 a month, with its AI tiers unpublished.
- Alert Communications and Lead Docket are CaptureNow partners, so neither belongs on a replacement shortlist.
- Chasing medical providers and records appears in no vendor's published material in this category.
Replacing an intake vendor starts with naming what the vendor actually does, and the category makes that harder than it should be. A legal answering service, an AI receptionist and an intake CRM get discussed interchangeably while doing three different jobs at three different prices.
CaptureNow sits in the middle of that confusion. It answers calls for law firms using software and integrates with several case management systems, while publishing no rates. Firms end up comparing it against options that are equally unpriced.
This piece sorts the main CaptureNow alternatives by what they are and what each publishes, then identifies which handle the outbound work a plaintiff practice runs on.
What you would actually be replacing
Getting the replacement right means being precise about the current product, since a firm that swaps software for a staffed service changes its cost structure entirely.
CaptureNow is software. An AI assistant answers inbound calls around the clock, transcribes them, routes by qualification priority, records them and pushes alerts by email and SMS. Its CallerIQ feature recognizes returning callers by name.
Integration coverage runs to Litify, Filevine, Lead Docket, Clio, Captorra and CasePeer on its own site, and SmartAdvocate separately lists CaptureNow in its partner directory. English and Spanish are both supported.
The feature set is inbound throughout. Answering, transcription, routing and alerting all describe calls arriving at the firm, which matters because a plaintiff practice spends heavily on calls going the other way. Pricing comes through a sales conversation, which we covered in detail in our breakdown of CaptureNow pricing.
Criteria that separate the CaptureNow alternatives
Feature checklists flatten the real differences here, so the comparison below runs on five things that change what a firm pays and what its staff still has to do.
Who or what answers: A staffed service bills for human time and scales with headcount. Software bills for usage and scales with volume. Neither is better in the abstract, and they fail differently under a sudden spike.
Legal specialization: A general business receptionist can take a message competently. Capturing date of loss, mechanism of injury and treatment status in the first conversation is a different skill.
What reaches the case management system: A directory listing proves a connection exists. Structured notes and tasks written into the matter are what remove rekeying from a case manager's day.
Inbound and outbound: Answering is half the phone work at a plaintiff firm. Provider follow-up, records chasing and client check-ins are the other half.
Whether rates are published: This affects how long evaluation takes and how comparable the quotes are.
The CaptureNow alternatives, by category
These CaptureNow alternatives fall into groups that behave differently enough to make cross-group comparison risky. All pricing is each vendor's own published figure as of October 2026.
AI voice agents built for legal work
HelloCounsel is ours, and it is built for plaintiff personal injury, mass torts, workers' compensation and Social Security disability. Agents run as a user inside Filevine, Smart Advocate, Neos, Litify, Backdocket and Case Status, opening matters from the intake call and writing notes and tasks into the matter.
Native outbound covers medical record requests, insurance claim opening, crash report retrieval and client check-ins. Pricing is published per completed request, at $10 a medical record, $6 an insurance claim, $3 a crash report and $1 a call, with no setup fee.
LegalClerk.ai lists unlimited calls at $400 per seat monthly with no setup fee, alongside a seven-day free trial and a custom enterprise tier. It names Clio and MyCase among its integrations, and its material describes inbound reception, qualification and scheduling. Worth noting that its footer still carries a 2025 copyright, so confirm the rate is current.
Legal answering services with people on the phone
Smith.ai publishes per-call plans for its human tier, at $300 a month for 30 calls, $810 for 90 and $2,100 for 300, with overage falling from $11.50 to $8.50 a call as volume rises and no setup fees. Its AI and hybrid tiers exist without published rates.
The published figure understates the real one. Appointment booking, conflict checks, call recording and a dedicated Spanish line all carry per-call add-ons, so a firm should price its own mix.
Calls going out are supported, and a 2024 alliance with Assembly Neos is on the record. A deeper look at Smith.ai for PI firms goes through the trade-offs.
Answering Legal markets exclusively to law firms and offers a 400-minute free trial. Both of its pricing URLs return a 404, and its public material stops short of stating whether people or software handle the calls. Integrations named include MyCase, Clio Grow, Lead Docket, Lawmatics, Smokeball and PracticePanther. There is more in our review of Answering Legal for PI firms.
LEX Reception is legal-only and also returns a 404 on its pricing URL. Capterra lists a starting price of $425 a month on a usage-based model, which is a third-party figure worth confirming directly. Our LEX Reception comparison covers the service model.
Ruby uses live receptionists and publishes per-minute plans at $250 for 50 minutes, $395 for 100, $720 for 200 and $1,725 for 500, with overage rates unpublished. Outbound call assistance is included. Its pricing page names no legal features and no legal integrations, which places it at the general-business end. The Ruby comparison has more.
Nexa runs live virtual receptionists across three plans built on voice-minute allowances. Dollar figures are absent, and the page acknowledges both a setup fee and a per-minute overage rate without stating either value. Follow-ups and outbound calls are included across the plans.
The comparison in one view
The CaptureNow alternatives below are shown at each vendor's own published rate as of October 2026, except where noted.
| Option | What answers the call | Published rate | Outbound |
|---|---|---|---|
| HelloCounsel | AI agents inside the firm's CMS | Per completed request, from $1 a call | Records, provider calls, check-ins |
| LegalClerk.ai | AI receptionist | $400 per seat monthly | Not stated |
| Smith.ai | People, with AI tiers available | From $300 monthly, human tier | Callbacks and outreach |
| Answering Legal | Not stated publicly | None published | Not stated |
| LEX Reception | Not stated publicly | $425 monthly per Capterra | Not stated |
| Ruby | Live receptionists | From $250 monthly | Call assistance included |
| Nexa | Live receptionists | None published | Follow-ups included |
| CaptureNow | AI assistant | None published | Inbound only |
Two patterns stand out. Published rates cluster at the software end, and outbound coverage stops at receptionist tasks everywhere on the list.

Two names that are not CaptureNow alternatives
Shortlists routinely pick up vendors that do something else, and two of those are CaptureNow's own partners.
Alert Communications appears on CaptureNow's integration list and alongside it in SmartAdvocate's directory. It is an intake call center with genuine outbound capability covering scheduled callbacks and lead resurrection, and it publishes no rates. Treating it as a replacement misreads a supplier relationship.
Lead Docket is an intake CRM owned by Filevine and another named CaptureNow integration. It organizes leads and places no calls.
Lawmatics and Intaker belong in the same bracket. Lawmatics is a legal CRM with marketing automation and two-way messaging, and it makes no voice calls. Intaker is listed under case intake in SmartAdvocate's directory, and its pricing page currently loads empty.
A firm that replaces CaptureNow with any of these still has nobody answering the phone.
Where the published material runs out
Something consistent shows up across every one of these CaptureNow alternatives, and it is the most useful finding in this comparison.
Outbound capability exists at several of them, described as callbacks, lead follow-up and outbound sales. Those are receptionist tasks pointed outward.
Provider calls, records follow-up and status chasing appear nowhere in what these vendors publish. The work that consumes case manager hours at a plaintiff firm sits outside what this category sells, which is the problem a general receptionist product leaves behind.
Third-party validation is also thin across the board. Smith.ai carries 49 Capterra reviews under its chat listing, Ruby has 11 and LEX Reception has three, while CaptureNow, Answering Legal, Nexa and LegalClerk.ai have no listing we could find. Review volume is weak enough category-wide that it settles very little.

Matching the option to the firm
The right pick among the CaptureNow alternatives depends more on firm shape than on feature count, and three profiles cover most plaintiff practices.
A firm whose problem is missed calls after hours, with intake staff who handle the daytime load competently, is buying coverage. A staffed service priced on minutes works, and the published plans from Ruby or Smith.ai are straightforward to model against call volume.
A firm whose intake team is drowning in daytime volume is buying capacity. Software scales with volume instead of headcount, so the per-seat or per-usage models suit it better, and the question becomes what reaches the case file afterwards.
A firm where case managers spend their afternoons chasing providers and records has a different problem entirely. No amount of inbound answering touches it, which is why the outbound column decides the shortlist for most PI practices past a certain size.
Sizing the three buckets before the first demo converts a vendor comparison into a procurement decision, and it usually eliminates half the list.
Running the evaluation
A shortlist of CaptureNow alternatives gets decided on demos, and demos reward whoever presents best unless the firm sets the terms first.
Split last quarter's calls into inbound new client, inbound existing client and outbound. The third bucket usually surprises people and often decides the answer on its own.
Ask each vendor to price your actual volume including overage and add-ons. A headline rate and a priced scenario are different numbers in this category, sometimes by a wide margin.
Request a live demonstration of write-back into your own case management system. Watching a note land in a matter settles in thirty seconds what a feature page leaves open.
Confirm what happens to recordings, transcripts and contact records when the relationship ends, and ask for an export during evaluation. Our guide to evaluating an AI voice agent sets out the rest of the demo questions.
Where HelloCounsel fits
We built HelloCounsel for plaintiff firms, so weigh this as our own account of our own product.
Agents work as a user inside the firm's existing case management system, which means notes, tasks and new matters land where the case already lives. Nothing arrives as an email for somebody to rekey.
The outbound side is the part that separates it from most CaptureNow alternatives. Records requests, provider follow-up, claim opening and crash report retrieval run as automated workflows, priced per completed request at $10 a record including every call, email, fax and DataVant check it takes.
Setup runs on a configuration call with no setup fee, the platform is HIPAA compliant with SOC 2 in observation, and firms can run a no-cost pilot before committing.

Frequently asked questions
1. Which CaptureNow alternatives publish their pricing?
LegalClerk.ai at $400 per seat monthly, Smith.ai for its human tiers from $300 monthly, Ruby from $250 monthly, and HelloCounsel per completed request. Answering Legal, LEX Reception, Nexa and Alert Communications publish none, as of October 2026.
2. Is Alert Communications one of the CaptureNow alternatives?
It is a partner. Alert appears on CaptureNow's own integration list, which makes it part of the current setup at many firms instead of a replacement for it.
3. Which of these handle outbound calls?
Smith.ai, Ruby, Nexa and Alert Communications all describe outbound capability, mostly as callbacks and lead follow-up. Medical provider and records work appears in none of their published material.
4. Do any of them write into SmartAdvocate?
SmartAdvocate's partner directory lists CaptureNow, HelloCounsel, Alert Communications, Answering Legal and others under answering services. A directory listing describes a connection without describing what it writes, so ask for a demonstration.
5. Which CaptureNow alternatives suit a firm running Filevine?
Several options connect to Filevine, so the deciding question is usually outbound coverage and what reaches the matter. Price your own call mix across both and the shortlist narrows quickly.
6. Are AI agents and answering services comparable on price?
Only after converting both to a cost per handled call at your volume. A per-minute plan, a per-call plan, a per-seat licence and a per-completed-request model produce very different annual figures on identical call data.
